What Are the Storage Limits of SharePoint?

storage limits sharepoint

Customers are frequently asking what kind of storage they get with SharePoint Online. Microsoft has recently released updates for SharePoint Online via their Office 365 Roadmap:

Quick Summary for E plans:

  • Each Tenant (SharePoint Online instance) gets 1TB of storage space included. Then each user of the E plans will add 500MB of storage space into the shared pool. This is up from 10GB per tenant and 500MB per user.
    • For example:  A client with 250 users would get 1TB + 125GB (500MB x 250) for the main storage on SharePoint. Each extra GB is 0.20 per month, so an additional incremental Terabyte would only be about $200 per month.

Example of a large CAD file successfully uploaded into a Team Site Document Library in SharePoint Online.

  • The pooled storage is used across all sites on SharePoint Online, Office 365 Groups, and Office 365 Videos
  • Upload larger files, up to 10 GB each
    • This applies to files uploaded to Team Sites, and OneDrive for Business, as well as for videos uploaded into the Office 365 Video Portal.

Documents come to life with Yammer!

Have you ever edited a collaboratively created document and wanted others to input without being restricted to comments? Microsoft has recently embedded the social collaboration capabilities of Yammer into the Office apps! This means that employees can communicate their ideas and expertise about Office documents right from within the application they are working in. Employees can ask questions and offer feedback to their co-workers from the documents they’re working in. Since people are communicating through a Yammer feed, they can view and participate in conversations outside of the document and any other place where a Yammer feed is embedded.

Check out this 30 second video for a great visual:

Whenever you open a file in your browser a Yammer conversation pane will pop up on the right side of your screen. The Yammer pane also allows you to post messages, mention your coworkers, and publish to a Yammer group. The functionality is for internal Yammer networks.

This feature is expected to roll out this month so expect to see it soon!

Can you have 15 Copies of Microsoft Office on a single subscription?

Yes, when you purchase one subscription of Microsoft Office 365, you receive the right to install 5,5,5 copies of Office on different devices for that single user. We have highlighted the following points that speak to this licensing fact:

From Microsoft Official Volume Licensing Documentation*:

Italics are ours for clarification or emphasis:

  1. Each user to whom you assign a User SL (Subscription License) may activate the software for local or remote use on up to five concurrent OSEs (Operating System Environments). (5 copies for Windows and / or Mac)
  2. Each user to whom you assign a User SL may also activate Microsoft Office Mobile software to create, edit, or save documents on up to five of their smartphones and five of their tablets

In our words:

Each user of Office subscription, E3, or E4 can run up to 15 copies of Office - up to 5 that are full function 2013 (PC or Mac) AND up to five on mobile phone AND up to five more copies on tablets (currently only iPad Office is available – Android tablet to follow at a time that is unclear). Additionally, any user who has access to the web applications (K1, E1, E3, E4 plans or a-la-carte) could access Office functionality via any modern web browser.
